High-Level Overview 
The client seeks an Events and Communications coordinator to systematise, coordinate, and support a portfolio of high-level international convenings across climate, finance, and global governance forums. The organisation convenes senior stakeholders including sovereign wealth fund leaders, public officials, corporate partners, and diplomatic institutions through flagship summits, thematic roundtables, and side events at major global gatherings. 

The ideal candidate will provide structured event operations support, strengthen recurring member communications, and reduce operational strain on project managers. The role will focus on back-office coordination, stakeholder liaison, templatization of event processes, and implementation of communications.

Key Deliverables: 
  • Event Production & Coordination (Back-Office Focus) 
    • Set up and manage event management platforms (RSVPs, guest lists, tracking) 
    • Coordinate speaker logistics (bios, briefing notes, scheduling) 
    • Liaise with embassies, venues, protocol offices, sponsors and partners, and AV and logistics providers. 
    • Track sponsor visibility and deliverables 
    • Provide virtual back-office support during live events 
    • Backstop project managers during peak event periods 
  • Event Systems & Process Design 
    • Audit existing event workflows and documentation 
    • Develop structured A–Z event checklists 
    • Develop reusable templates for invitations, speaker briefs, run-of-show documents, partner coordination materials, and post-event follow-up communications. 
    • Build and maintain a forward-looking annual event tracker 
    • Introduce AI-enabled workflows to improve efficiency and consistency 
  • Communications & Member Engagement Support 
    • Support implementation of recurring member communications 
    • Package communications around major global convenings 
    • Execute communications strategy in coordination with senior advisor 
  • Organisational Capacity Building 
    • Institutionalise event knowledge and Standard Operating Procedures (SOPs) 
    • Improve predictability and consistency across events 

Requirements
Experience Required: 
  • Experience in international event production, public affairs, or strategic communications 
  • Experience supporting complex events with senior stakeholders 
  • Experience in cross-cultural, multi-stakeholder environments 
  • Exposure to sustainability, finance, diplomacy, or international governance preferred 

Technical Requirements:
  • Strong operational event management capability 
  • Experience with event management / CRM platforms 
  • Ability to design structured templates and repeatable systems 
  • Excellent written and spoken English (French desirable but not mandatory) 
  • Understanding of protocol-sensitive environments
